What are qualifications and how do I use them?

You can create qualifications in your online academy. With a qualification, you can determine the requirements that a user must meet in order to, for example, perform their job duties or maintain their authorization.

What are qualifications?

With qualifications, you can create profiles with mandatory components that individuals must fulfill. For example, you can create the qualification Emergency Response Officer that includes the Emergency Response Officer e-learning, the Emergency Response Officer exam, and the requirement for annual mandatory refresher training. Qualifications can then be assigned to a user.

How can I create qualifications?

Qualifications can be found within the organisational structure.

  • Click on the plus icon to create a new qualification. First, give the qualification a name.

  • Next, you can add learning activities to the qualification. Once the user has completed all the required learning activities for the qualification, they will meet the qualification requirements.

  • For each learning activity, you can configure a few things:

    • Add time frame: This is where you set the period within which the learning activity must be completed to qualify.

    • Upload certificate: This option allows you to specify whether it's possible to upload a certificate for this learning activity. By uploading a certificate, the user can demonstrate that they already possess the knowledge covered in the learning activity. The administrator or manager can then approve or reject the certificate.

    • PE Activities: Here, you can add follow-up learning activities that the user must complete within a specific timeframe to maintain their qualification.

How can I link qualifications to a user?

  • Manually

    To link a qualification to a user, navigate to 'Users' in the menu bar. Go to the details of the user you want to add to a qualification. Click on 'Qualifications' for the respective user and use the plus icon to add the qualification to the user.

  • Qualification inventory

    The user goes through the qualification inventory, which is an intelligent questionnaire that determines which qualifications the user should have. Once approved, the qualifications will be visible in the user's profile, and the user can proceed to complete the learning activities within the qualifications.

  • Through the organisational structure

    You can assign qualifications to a team or function. All users in that team or with that function are then associated with the relevant qualification(s).

Once a user is linked to a qualification, the user will also be enrolled in the learning activities assigned to that qualification.

How can users complete qualifications?

You have created the qualifications and linked them to the users. What's next? Users will now need to proceed with qualifying themselves. They can do this by completing the learning activities in various ways.

  • Users can follow and complete the learning activities as they normally would with any other activity. They can find the learning activities on their Dashboard, under Learn, or under Qualifications.

  • Users can upload externally obtained certificates as evidence that they already possess the knowledge from this learning activity. This can only be done if it's configured in the qualification for the respective learning activity that users can upload a certificate for that particular learning activity. The user can do this by opening the qualification and then clicking on 'Upload certificate' within the context of the learning activity. Here, the user can upload the certificate, specify when it was achieved, and indicate if the certificate has an expiration date. An administrator or manager can review and assess the uploaded certificate in the Approval section.

How can I monitor progress within my qualifications?

Of course, you want to keep track of your users' progress with their qualifications. In My Team, you can monitor the progress of all users. On the 'Overview' tab, you can see which part of a company, department, or team meets and does not meet a qualification, as well as who is about to lose the qualification. You can click on various sections of the overview to see more information.

It's also possible to view the progress on an individual user level, as well as for specific learning activities or qualifications.

Example scenario for qualifications

In the following, we'll outline an example scenario for the use of qualifications. For this example, let's consider a scenario involving an Emergency Response Officer qualification.

  • Create an Emergency Response Officer qualification.

  • Within this qualification, add an Emergency Response Officer e-learning course. This will be the user's initial Emergency Response Officer e-learning course.

  • For this e-learning course, specify the timeframe within which the learning activity must be completed to qualify.

  • For each subsequent refresher training the user must undertake, you can include PE activities. For instance, if the user needs to attend a refresher training every year, you would add this as a PE activity. Additionally, you should define the timeframe within which the learning activity must be completed to maintain qualification.
