What is a qualification inventory, how do I create one and how do I set one up?

As a manager, it’s often crucial to maintain a clear overview of who holds which diplomas and qualifications — and who does not. This qualification inventory supports you in doing just that.

This learning activity helps identify the gap between a user’s current knowledge and the knowledge required. The outcome is a qualification profile that the assigned manager or administrator can review. Once approved, the qualifications become visible in the user's profile, allowing the user to begin completing the learning activities associated with those qualifications.

How do I create a qualification inventory?

  1. From the menu bar on the left, go to "Content".

  2. Click on “Add”.

  3. Choose "Inventorise & measure" and then "Qualification inventory" as the type of learning activity.

  4. Add the general information.

    • Title: Give the learning activity a title so you can easily find it in the library.

    • Author: By default, the academy name is used as the author name.

    • Study time: Here you can enter an indication of the study time.

    • Themes: Add at least one theme.

    • Skills: Add up to five skills here that you develop with this learning activity. This is optional.

  5. Click on "Create new learning activity".

Setting up a qualification inventory

Once you’ve created the learning activity, you can start shaping the qualification inventory. When launching a new qualification inventory, you’ll see several key elements:

  • Welcome and closing blocks: These are the very first and final pages of the qualification inventory. Here, you can explain what users can expect and thank them for their participation.

  • Paths: Paths allow you to divide the qualification inventory into different themes. Each path can focus on a specific topic. By giving each path its own title, users can clearly see which theme they are working on.

Adding content and logical decisions

In edit mode, you can add content and set up logical decisions for your qualification inventory. While editing the learning activity on the left side of the screen, you’ll simultaneously see how the user will experience it on the right side.

Adding components to paths

You can add various components to each path. These components might include a question, a piece of text, or a video, for example. Some components serve a purely informative purpose — like texts and videos — and are used to provide knowledge. Others influence the progress or outcome of the qualification inventory. These are called logical decisions. You can add the following types of components to a qualification inventory:

  • Question: Allows you to add a question where the user selects one answer. You can link logical conditions to this question.

  • Video question: Lets you include a video alongside a question where one answer can be selected. Logical conditions can also be applied here.

  • Text: Enables you to add explanatory or contextual text to the qualification inventory.

  • Video: Lets you insert a video with a description to provide further explanation or context.

  • List of qualifications: Displays an overview of all qualifications the user is registered for within this qualification inventory.

Logical decisions

Using logical conditions, you determine the structure and outcome of the qualification inventory. You can add a logical condition by clicking the icon with the two arrows. Once you start setting a condition, use the arrows above it to move to the next question and add another condition there if needed. A single question can have multiple logical conditions attached to it.

There are two types of logical decisions you can apply within a qualification inventory. These can be added to either a Question or a Video question:

  • Skipping components: Based on a user’s answer, you can direct them to a specific part of the qualification inventory. This is useful, for example, when a set of questions is not relevant to all users.

  • Assigning qualifications based on answers: Depending on the selected answer, a qualification can be assigned to the user in the background. For instance, you can configure that selecting answer X results in qualification Y, while answer A leads to qualification B.

Settings within the qualification inventory

On the Settings page, you can configure two elements:

  • Template: You can choose from various themes to give the qualification inventory a look and feel that fits your organization. On the right side of the screen, you’ll see a live preview of how your assessment will appear.

  • Help page: You can set up a custom help page where you add frequently asked questions tailored to your own users.

How do I enroll my users in a qualification inventory?

  • Publishing: Once your qualification inventory is complete, you can publish it. To do this, click the "Unpublished changes" button in the upper right corner of the screen. Any changes you make afterwards are not applied automatically — they will only take effect when you click "Publish changes". This way, you have full control over when updates go live, allowing users to continue working uninterrupted.

  • Activating: After publishing the content of your qualification inventory, return to the learning activity settings. First, change the status to "Published". Then refresh the page and toggle the switch for "Active". Once the qualification inventory is set to "Active", you can start enrolling users.
