With a file assignment, you ask users to complete a task outside the online academy — for example, in Word — and upload it afterwards. You can optionally add templates to ensure that all assignments follow the same structure and format. The assessor will receive a notification when a submission has been uploaded.
How do I add a hand-in assignment?
You can add a file assignment as a standalone learning activity or as a learning format within an e-learning or microlearning.
Hand-in assignment as a learning activity
From the menu bar on the left, go to "Content".
Click on “Add”.
Choose "File assignment" as the type of learning activity.
Add the general information.
Title: Give the learning activity a title so you can easily find it in the library.
Author: By default, the academy name is used as the author name.
Study time: Here you can enter an indication of the study time.
Themes: Add at least one theme.
Skills: Add up to five skills here that you develop with this learning activity. This is optional.
Click on "Create new learning activity".
Additional settings for the file assignment
Optionally add a template: Go to the "File assignment" tab and either drag the document into the upload field or select a file from your computer via "Choose a file". You can, for example, add a framework or step-by-step guide to help users structure their assignment.
Assign an assessor: In the "File assignment" tab, under "Assessor", select who should review the submitted assignments: administrators, managers, or a specific assessor. Based on your selection, administrators, managers, or the designated assessor will receive the submissions under "Approval". Hand-in assignment as a learning format
Within an e-learning or microlearning, select the learning format "File assignment".
Add a title and, optionally, a description. The file assignment will be stored in the Warehouse based on the title. You can choose to hide the title from users by clicking the eye icon next to it.
Optionally add a template. Drag the document into the upload field or select a file from your computer using "Choose a file". For example, you might add a framework or step-by-step guide to help users structure their assignment.
Assign an assessor. Under the "Assessor" section, choose who should review the submitted assignments: administrators, managers, or a specific assessor. Depending on your selection, the submissions will be sent to the appropriate person under "Approval". Read more here about how to define more specifically who should review the file assignment.
Tip: learning objectives and tags
You can add learning objectives and tags to learning formats.
Learning objectives are useful, for example, when creating exams based on specific goals.
Using tags makes it easy to find content in the Warehouse. Simply start typing, and suggestions will immediately appear for learning objectives and tags you have used before.
Which files can I upload?
Various file types are supported for uploading as templates or file assignments. Below is an overview of what you can upload:

PowerPoint files
PDF files
Images
Video files
.avi
.mov
.mp4
.mpeg
.mkv
When a user uploads a video file, the video can also be played directly from within the academy after upload. This means both the user and administrators can view the uploaded video from within the platform.
Note!
The maximum file size for documents and images is 50 MB. The maximum file size for videos is 1 GB.
Who can evaluate the hand-in assignment?
Assessor
You can define who is allowed to review the file assignment: administrators, managers, or a specific assessor.
You can set who can evaluate the hand-in assignment: administrators or managers or a specific assessor.
If administrators are set as assessors, only administrators will be able to view and review the submitted assignments.
The same applies to managers: if managers are assigned as assessors, only managers can view and review the submissions.
If a specific assessor is assigned, only that individual can review the submitted assignment. Other managers or administrators will not have access to do so.
A specific assessor can be either a manager or an administrator. A maximum of 10 specific assessors can be assigned to a file assignment.
Rights
Only administrators or managers with the correct permissions will receive submitted assignments for review. This ensures that each file assignment reaches the right person. The way permissions are granted differs between administrators and managers.
Administrators: You can assign administrators a certain role. Each role can be configured with a set of permissions. Administrators with a role that includes the "Manage approvals" permission will receive file assignments for review under "Approval" in the left-hand menu. From the admin’s detail page, you can grant access to specific companies and/or teams. This gives the administrator access to users within those companies or teams and allows them to review those users’ assignments.
Managers: On a manager’s detail page, you’ll find the "Management rights" tab. Here, you can assign a manager to users within companies, departments, teams, or even individual users. The manager will then receive review requests for those users under "My Team".
Specific assessor: Managers or administrators assigned as specific assessors must have access to a user in order to review that user's file assignment.
For a manager, this access is set via "Management rights".
For an administrator, it is configured on the admin’s detail page.
How does reviewing a file assignment work?
A manager who is allowed to review a submitted assignment can find it under "Management rights".
An administrator who has access to review the file can find the assignment under "Approval" in the menu on the left side of the screen.
Anyone assigned as an assessor will automatically receive an email notification when an assignment is submitted. The assessor can assign a score to the file assignment and then approve or reject it. Optional feedback can be added to support the review.
At the bottom of the page, there is also an option to upload a file containing feedback.
If the assessor decides to reject the assignment, they can give the user a second chance by enabling "Resubmit assignment".
