Grant administrators access to specific sections in the online academy

With roles and rights, you determine what your administrators can do and see in the online academy. Some administrators may only have access to creating new courses, while others may be solely focused on adding new users. By giving them specific roles and rights, they can access the appropriate features within the online academy.

How to create roles?

In the online academy, you can easily create different roles and then assign them to your administrators. With each role, you can specify which rights are included. Examples of rights include adding and deleting users, creating content, and managing the settings of the online academy. We will explain step-by-step how to create a new role.

  • Go to 'Administrators' in the menu. This is the icon with the lock in the menu bar. Here you will see an overview of all administrators within your environment.

  • Click on the 'Roles' tab.

  • Click the plus icon in the top right corner to create a new role.

  • Give the role a name.

  • Select the group to which you want to add the role (likely the name of your organization).

  • Indicate on the right which rights are assigned to this role (scroll down for an explanation of assigning righs).

  • Click 'Save changes'.

  • Now, when creating an administrator, you can assign the created role.

Granting Permissions

Below is an overview of all rights that can be assigned to a role and what someone can do with that specific right.

Users

  • View users: View only user data.

  • Manage users: Create users (manually or in bulk), and modify existing user information.

  • Log in as user: Log in as a user by clicking on the key icon on the right side of the user's name. Note: actions performed as a user will also apply to that user.

  • Manage enrollments: Register users for activities and playlists.

  • Manage management rights: Make a user a manager and manage their permissions.

Courses

  • Manage all learning activities: The administrator can manage all learning activities in "Courses".

  • Create & edit new learning activities: The administrator can create new learning activities and also edit them. The administrator also needs this right to gain edit access to specific other learning activities.

  • View learning activities: The administrator can view all learning activities in "Courses" but cannot edit them.

  • View participants: The administrator can view the "Participants" tab for a learning activity.

  • Manage collections: The administrator can create collections and add learning activities to those collections.

Warehouse

  • Create & edit content: Learning content can be created and edited in the Warehouse.

  • View content: Only view learning formats.

  • Delete content: Learning formats can be deleted by an administrator with this role.

Approval

  • Manage approvals: Can designate the reviewer for requests from the Library in the settings.

  • Process requests: Can review all types of approvals.

My Team

  • Insight into progress of my team: Access to the My Team overview, where you can gain insight into the progress and development of your users.

Organization structure

Administrators

  • Manage administrators: Can create and manage administrators and assign roles

  • Manage roles and rights: Can modify roles and rights.

  • View clients: May share learning activities with other environments within the same client group.

Invoicing

  • Insight in invoicing: Can view invoices.

  • Create an administration export: Can export users and registrations for learning activities.

Settings

  • Manage basic settings: Can adjust basic settings such as the name of the environment and languages.

  • Manage design: Can customize the design of the environment to fit the look & feel of your organization.

  • Manage email settings: Can modify the default emails that users and administrators receive.

  • Manage conditions: Can modify the user terms and conditions.
