Manage the email settings and content of standard emails for your online academy

We send automatic emails to users at different times. For example, an invitation for users and administrators to set a password or a notification that a user has enrolled in a new learning activity. These emails are already set up by default in your online academy, but you are also free to customize parts of the content yourself.

Where can I find the mail settings?

Click on 'Settings' in the left menu bar, and then on the 'Mail' tab. On the left side, you can adjust the general email settings. On the right side, you will see all the emails that are sent, both to users and administrators.

What can I adjust in the general email settings?

  • Sender: The sender that appears in the standard emails.

  • E-mail links baseurl: This allows you to adjust the URL behind the button in the standard emails. For example, if you use Single sign-on and don't want your users to go to the login screen, you can enter the Single sign-on URL here. This way, users will be logged in automatically. You can find the Single sign-on URL by right-clicking on the SSO login button and then selecting 'Copy link address.'

  • Send emails automatically toggle: If this toggle is turned off, no automatic emails will be sent from the online academy. This can be useful if you want to add users but don't want any emails to be sent yet.

How can I modify default emails?

On the right side of the screen, you will see the three standard emails listed one below the other. By clicking on the pen next to the email, you can modify the content of that email.

Which emails can I modify?

You can modify the following emails:

  • Invitation users

  • Invitation administrator

  • Enrollment in learning activity

For each email, you can modify the text. The different parts of the email have been categorized, and there are fields that will be automatically filled in, such as the user's name.

Different Languages

When editing a standard email, you can also add multiple languages. The language assigned to the user will determine the language in which the email is sent. We generate a part of the email ourselves, but the rest can be modified. The part that we generate automatically changes with the language assigned to the user.

Please note!

The "Enrollment in learning activity" email has a delay of approximately 30 minutes. This delay allows multiple registrations to be included in a single email, preventing users from having a cluttered inbox.
